NOTICE: REGISTRATION POLICY

As CYAA entered the 2003 season, we finished up our third year as a year-round youth sports ministry. In this short three-year time span, CYAA has grown to approximately 800 athletes involved annually. As a result, we are experiencing growing pains. Due to the current size of our organization, we are faced with making some new policies to streamline the registration and administrative processes. These modifications will ensure the long-term success of our organization. We are asking for your understanding, prayers and support for these changes. Here are some current statistics that may help you understand our need for adjustments:

* Phone Calls- For our 2003 basketball season, we received over 300 calls. Since all of the people who return such calls are with us on a strictly volunteer basis, it is virtually impossible for us to manage and promptly return this large volume of calls.

* Late Registration- For our 2003 basketball season, we received 140 sign-ups on the last date of cut off, and an additional 70 the week after the deadline. We input, re-input, distribute and redistribute rosters, game schedules, and uniform & trophy orders. This creates pressure, stress and sleepless nights for our already busy board of directors.

* Special Requests- Of our 325 basketball athletes, over 100 players had a special request. Examples are:
- To have a certain coach.
- To play with a friend.
- To practice at a certain time or location.
As hard as we have tried, it has become impossible to accommodate special requests for such a large number of players.

* Late Payments- Over 50 registration forms were received without payments this basketball season. We made over 50 first-round collection calls. Due to no response, an additional 27 second-round calls had to be made. As a last resort, we had to hold 10 uniforms hostage until payment was received. This is unacceptable.

* Shortened Practice Season- The aforementioned challenges have encroached upon our designated four-week pre-game season. As a fundamental league, practices are of tremendous importance. Pre-season practice is the best time to teach our aspiring athletes required skills. A published timeline and strict adherence to policy will guarantee our ability to properly train both coaches and athletes.
